Membership growth strategy: How member experience drives growth and retention
Published by HealthFitness on September 28th, 2026

The opportunity isn’t simply to grow membership; it’s to create an experience people value enough to join and keep coming back. The environment, people, programming, and connections all shape whether or not the center becomes a place employees choose to be. Each stage has opportunities, defined tactics, and measurable outcomes.
Attract: Building Awareness and Interest
Facility VisibilityBefore anyone can engage with the facility, they need to know it exists, understand what it offers, and feel comfortable walking through the doors. Our teams build this awareness, interest, and familiarity through several core practices, including:
- Welcoming signage and engaging campaigns in common areas that allow for easy discovery of available programs and services while making the facility feel accessible
- Staffed information tables that create opportunities to connect with our team, ask questions, and walk away with helpful resources
- Employee Wellness Champion partnerships where our staff listen, collaborate, and identify the best ways to reach and support members
- On-site events including open houses, facility tours, information sessions, and member socials that provide opportunities to experience the facility and connect with staff
To create familiarity and comfort, one site’s staff even placed life-size cutouts of themselves around campus to help employees recognize the team by face before ever stepping a foot in the facility — going that extra mile to ensure that first visit felt welcoming.
Converting Interest into Membership
Visibility is important, but our teams know it doesn’t end there. Time-bound, rotating promotional offers provide prospective members clear reasons to act on joining, including:- Limited-time, discounted membership drives and offers
- Referral rewards for current members
- Free trial weeks for group fitness classes, and facility use
- Seasonal campaigns, offers, and events to engage and connect
Onboard: The Critical First 30 Days
Once someone joins, the first 30 days can determine whether they stay. Every HealthFitness site runs the same welcoming onboarding sequence, so no new member is left to figure the space out alone:Jump Start: A complimentary 30- to 45-minute personal training session covering goals, an introductory workout, equipment orientation, and program recommendations. It gives every new member a confident, consistent starting point, particularly those new to structured exercise.
Fitness Assessment: A complimentary 30- to 45-minute session that gives members a closer look at their overall health and fitness, including resting heart rate, blood pressure, body composition, cardiovascular fitness, muscular fitness, and flexibility.
Individual sites layer their own engagement tools on top of these standard offerings. To support new members in a creative way, one site hands out bingo-style cards that encourages them to check in six times, take a group fitness class, complete a Jump Start session, and attend an event within their first month to redeem for branded gear and create a welcoming, fun environment.
Engage and Retain: Reasons to Come Back
From athletes pursuing performance goals to social members seeking community and beginners building new habits — retention depends on programming that reflects and supports different member needs. By focusing on our four elements of wellbeing: movement, nutrition, recharge and connection, we provide accessible entry points for all abilities and interests.
Offerings range from group fitness classes, challenges, and training programs to recreation leagues and recovery services such as assisted stretching, with new programs introduced throughout the year.
Scheduling is a retention tactic in its own right. Class times are built around real workday constraints, including shorter midday sessions that leave time to change and return to a desk, and staggered evening options for employees leaving at different times.
Re-Engage: Lapsed and Canceled Members
We track cancellation reasons and adjust programming accordingly, while leaving the door open for a future return. Lapsed members receive personalized outreach highlighting new classes, equipment and challenges, plus direct invitations to specialty programs and community events designed to reintroduce the facility. How We Measure It
We don’t guess whether membership strategy is working. Every staffed HealthFitness location completes our Participation Metrics Dashboard (PMD) monthly, standardizing participation data across client sites. The PMD generates a Monthly Fitness Report for the client and can be adapted to existing reporting formats.Because every site reports the same way, we can see patterns across our entire book of business: which tactics are producing growth, which are underperforming, and how a site compares with its goals and similar facilities. That visibility creates a powerful feedback loop:
- Identify. What’s working and what’s underperforming.
- Understand. Why certain tactics are driving results.
- Scale. Apply what works across the portfolio.
Proof in Practice
HealthFitness manages a 10,000-square-foot fitness facility at a mixed-use corporate campus. When we started, membership was at 122. Using the full lifecycle model, we’ve grown membership to 722 and increased visits from 1,982 to 12,224.New-tenant visits, employee-led tours, seasonal promotions and referral programs created awareness. Jump Start sessions helped new members get started and build a sense of belonging right away. Group exercise incentives and all-tenant events created additional reasons to participate and stay engaged.
But growth wasn’t the only measure of success.
- First-90-day cancellations fell from 5.6% to 2.8% following the introduction of the first-month engagement card, the site’s lowest rate on record.
- 51% more active. Participants reported being more active than they were a year earlier.
- 103 new members joined through January open house and member promotion
- 87% new participants. The site’s first all-tenant challenge reached well beyond the existing membership base: 87% of participants were non-members, creating a new audience for future engagement and conversion.
- 187 people participated in the Winter Games Challenge, up from 110 the prior February, while the program also generated the site’s highest Jump Start participation to date.
